CONSTITUTION OF OKUAPEMMAN SCHOOL OLD STUDENTS ASSOCIATION (1988 YEAR GROUP)
PREAMBLE:
Desirous of establishing an active old student Association made up of 1988 past students of Okuapemman School.
Being of a firm conviction that it is only through an organized structure that we can best coordinate and regulate the activities of the Association.
Having agreed in the exercise of our right to prepare and adopt for ourselves a written Constitution to Coordinate and regulate our activities.
Conscious of various potentials of the members of the Association
And being prepared to channel these potentials for the benefit of the members of the Association as well as Okuapemman School
We, the past students of Okuapemman School of 1988 year group do hereby adopt exact and promulgate this Constitution as the basic law to regulate , co-ordinate and govern the activities of this Association on this 12th day of December, 2009.
ARTICLE 1
NAME:
This Association shall be known and referred to as Okuapemrnan School past students Association of 1988 (OKUASS 88) and hereinafter known as "The Association".
ARTICLE 2
MEMBERSHIP:
Membership is open to all students who Completed O'LEVEL and A' LEVEL at Okuapemman School in 1988.
ARTICLE 3
AIMS AND OBJECTIVES
1. To provide a Common ground for the interaction of members of the Association.
2. To provide a Common ground for discussion and resolutions of members welfare
3. To provide a common platform to coordinate and contribute towards the welfare and development of okuapemman School
4. To establish a close relationship with the main Okuapemman Old Students Association.
5. To establish a cordial relationship with other Old Students groups in other Secondary Schools.
6. To establish a close relationship with other year Group Associations of Okuapemman School.
ARTICLE 4
OFFICERS
4.1 There shall be an Executive Committee elected by the members of the Association among themselves and shall comprise the following officers:
A. CHAIRMAN/CHAIR PERSON
B. VICE CHAIRMAN/VICE CHAIR PERSON.
C. SECRETARY.
D. TREASURER.
E. ORGANISER.
F. FINANCIAL SECRETARY
G. 1 (ONE) EXECUTIVE MEMBER
4.2 All officers shall have a definite term of 3 years.
ARTICLES 5
DUTIES OF OFFICERS:
5.1 CHAIRMAN/CHAIRPERSON: he/She shall;
A. Be the Chief Executive and shall be responsible for Co-ordinating the functions of the Association.
B. Present the association's interest and opinions at any forum. Preside over all meetings of the Association.
5.2 VICE CHAIRMAN/VICE CHAIRPERSON: He/She shall;
A. Assume the. duties of the Chairman/Chairperson in his/her absence, resignation or inability to act until such a situation is rectified.
B. Perform duties as may be assignee by the Chairman/Chairperson.
5.3 SECRETARY: He/She shall:
A. Keep accurate and orderly records of all proceedings at General and Executive meetings'.
B. Publish a report of ail meetings of the Association as above for the benefit/information of all members.
C. Convene all meetings, stating agenda, venue and time under the direction of the Chairman/Chairperson
D. Be responsible for coordinating all correspondence of the Association in Consultation with the Chairman/Chairperson.
E. Perform duties as may be assigned by the Chairman/Chairperson.
5.4 FINANCIAL SECRETARY: He/She shall:
A. Keep record of all financial transactions for and on behalf of the Association.
B. Be responsible for presenting the financial status of the Association periodically.
C. Raising vouchers and Keeping Cheque books belonging to the Association
D. Perform duties as may be assigned by the Chairman/Chairperson
E. Responsible for the Collection of all levies and dues from members of the Association
5.5 TREASURER: He/She shall be:
A. Responsible for lodging all monies of the Association in the bank.
B. Any other duties to be assigned by the Chairman/ chairperson
5.6 ORGANISER: He/She shall be responsible for;
A. Spearheading the membership drive of the association.
B. The General organisation of all meeting and Social functions of the Association.
C. Liaising and Coordinating with all members to keep them informed of all happenings within the Association.
D. Perform any duties as may be assigned by the Chairman/Chairperson.
5.7 WELFARE OFFICER: In the performance of his/her duties with regard to welfare issue, reference ought to be made to a welfare guide which will be prepared and adopted by the members at a General Meeting of the Association.
6.0. SIGNATORIES TO BANK ACCOUNT:
Signatories to the bank Account of the Association shall be made up of
(i) CHAIRMAN/CHAIRPERSON
(ii) SECRETARY
(iii) TREASURER.
6.1 Any two of the Executives listed in 6.0 above are authorised to Sign to make withdrawals for and on behalf of the Association as well as undertake any other financial transactions on be of the Association.
7.0 ELECTION OF officers
7.1. ELECTION
A. Election of Executive members -- shall be held every 3 years.
B. Any elected- Executive member- is eligible to stand for re-election after the expiry of his/her term
C. A returning Officer shall be elected among members to organize and supervise successful elections.
7.2. QUALIFICATION: Any past student of Okuapemman School who Completed 0' Level or A Level in 1988 is qualified to stand and contest provided that:
(i) He/She has been a fully paid up member of the Association.
(ii) He/She has been regular at monthly meetings and attended at least 5 of the last 8 meetings.
(iii) He/She has met all other financial obligations of the Association other than dues.
Committees shall however be endorsed by the General Assembly of members of the Association.
B. All such Committees so created shall determine their leader, meeting times and venue and report to the General Assembly regularly on their
deliberations.
9.0 DUTIES AND LEVIES
A. Each member shall pay monthly dues to be determined by the Executive Committee with approval from the General Assembly, from time to time.
10.0 QUORUM
A. The quorum for a general meeting shall be Constitute by 8 Members, two (2) of whom shall belong to the Executive Committee.
B. The quorum for an Executive meeting shall be constituted by three (3) members, one (1) of whom ' shall be the Chairman/Chairperson
C. That notwithstanding any provisions of this Constitution any decisions taken by the General Assembly of the Executive Committee shall be binding on every member of the Association, provided it is endorsed by the General Assembly.
11.0 AMENDMENT
Amendment at any General Meeting or any meeting called for that purpose shall have not less than 50% of total numbers of members of good standing present voting, to effect such amendment
12.0 MEETING/EXTRA ‘O’ MEETINGS
A. Meetings shall be held once every quarter at a date and venue to be determined by the Executive Committee from time to time.
B. Extra 'O' General Meeting/Emergency meetings can be called at any time by the Executive Committee.
13.0 INTERPRETATION
14.0 DEFINITION
"A Member of good standing" means a member who has fully paid up all his/her dues and any other financial obligation to the Association.
